What Notion is
Notion is a workspace application from Notion Labs, founded in 2016 and based in San Francisco. Pages are built from blocks — text, tables, images, files, embeds, code — and any page can be turned into a database with table, board, calendar, timeline, gallery or chart views, so the same content can serve as a personal notes app, a team wiki, a project tracker or a lightweight CRM without switching tools. Notion AI adds writing help, summarisation and Q&A over workspace content, and Notion Agent carries out multi-step tasks using workspace context and connected apps. Around that core sit Notion Calendar, Notion Mail, forms, and a publisher that turns pages into public websites. The free plan works for individuals; paid plans are billed per member and lift block, upload and history limits while adding collaboration, admin and security features. A REST API and an official MCP server let scripts and AI agents read and write pages. The limits are real: it is not a spreadsheet for heavy calculation, and offline use is narrower than in local-first note apps.
Best for
- Team wikis and internal documentation
- Project and task tracking kept next to the documents
- Lightweight databases that need several views of one dataset
Not ideal for
- Heavy spreadsheet modelling and large-scale data analysis
- Teams that need a fully offline, local-first note app
Pros
- One workspace covers notes, documents, databases and project views
- Templates and a large community make starting points easy to find
- Free plan is usable for individual work, not just a trial
Cons
- Page load and search slow down as a workspace grows large
- Block-based editing takes new team members time to learn
- AI, admin and permission features sit behind the paid tiers
